NF525 or LNE: which certification for your cash register?

Managing cash receipts is an essential component in the smooth running of your restaurant. Since 2018, regulations have required restaurateurs to use a compliant software or cash register system, in order to combat VAT fraud and guarantee fiscal transparency. But how do you choose the right certification for your cash register? There are two main options: NF525 and LNE certification. Why choose a certified cash register?

Legal obligations and regulatory framework 

Did you know that since January 1, 2018, it has been mandatory to use a compliant cash register software or system to combat VAT fraud? This obligation is part of the 2016 Finance Act (article 88 of law no. 2015-1785) and requires merchants, like you, to use a solution that guarantees the inalterability, security, retention and archiving of cash register data.

The aim? To prevent the concealment of revenue and ensure total transparency vis-Ă -vis the tax authorities. To comply with the law, there are two major certifications available: NF525 and LNE. But which one should you choose for your establishment? Let's take a closer look.

Penalties and risks associated with uncertified cash registers

Failure to use a certified cash register can result in severe penalties. In the event of a tax audit, if your cash register system does not comply, you risk a fine of €7,500 per non-certified software or system, with an obligation to comply within 60 days.

In addition to the fines, lack of certification can lead to tax reassessments, and generate mistrust on the part of customers and partners. Certification is therefore a guarantee of safety and compliance, both for you and your customers.

What is the NF525 standard?

NF525 certification principles and requirements

NF525 certification is issued by AFNOR to cash register software publishers and certifies that the software meets the following criteria: 

  • inalterability : stored datamust not be modifiable.
  • security: informationmust be protected against any intrusion or alteration.
  • retention period: data must be stored for the prescribed period.
  • data archiving: information must be fixed, time-stamped and stored in such a way as to guarantee its integrity over time.

Identification of an NF525-certified body

NF525-certified software or systems display the NF525 logo, and the manufacturer must be able to provide a certificate of authenticity or individual attestation. This document will serve as proof in the event of a tax audit. Don't forget to ask your supplier for it.

Process for obtaining NF525 standard

Your software must meet AFNOR requirements. Cash register suppliers must have their system validated by a certifying body. This certification is subject to a fee, which varies from supplier to supplier, and must be renewed every year.

What is LNE certification?

LNE (Laboratoire National de MĂ©trologie et d'Essais) certification is based on the same principles as NF525. It ensures that cash registers comply with tax requirements.

Identification of an LNE-certified body

As with NF525, your supplier must provide you with an individual attestation mentioning key elements such as date of issue, certificate number, and compliance with legal requirements. LNE-certified systems display a distinctive mark.

Process for obtaining the LNE standard

It's up to your supplier to obtain this certification. It involves a technical and administrative audit , and has a variable cost.
